Admission Office Assistant

The Admissions Office Assistant reports to the Director of Admission Operations and is responsible for providing prospective student experiences, including visits, events, and marketing for the Office of Admission. This position also supports marketing efforts for the Office of Admission and general support as needed to other departments in the Enrollment Management Division.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

  • Answer the telephone, greet students and other visitors, and direct them to appropriate staff, resources, and services. Redirect calls as needed.
  • Schedule campus visits for prospective students and families.
  • Scheduling campus visits for school and community groups, coordinating with Dining, Facilities, and other appropriate offices, with a focus on recruitment.
  • Assisting with events for prospective students, including but not limited to Visit Days, Preview Days, Admitted Student Days.
  • Supporting other events hosted by the Office of Admission or in partnership with other offices.
  • Maintain accurate inventory of office supplies and process purchasing of equipment, supplies, and educational resources related to visits and events.
  • Completes clerical and administrative tasks related to prospective student experience, including application processing, transcript processing, file uploading and maintenance, data imports and communication reporting.
  • Provides excellent internal and external communication with students, faculty/staff and other departments.
  • Assist with communication plan and schedule in coordination with admission counselors and other staff such as print pieces, email campaigns, mass texting services through our CRM.
  • Support and evaluate results of communication campaigns with the team.
  • Schedule the Regent Ambassadors.
  • Assists the Director of Admission Operations as necessary.
  • Responds to other duties as assigned.
  • Demonstrated knowledge, skills and abilities in working with faculty, staff and students with diverse backgrounds including academic, socioeconomic, cultural, sexual orientation, and disabilities. 

QUALIFICATIONS: 

  • Organizing and coordinating skills.
  • Data entry skills
  • Ability to work effectively with diverse populations.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to gather data, compile information, and prepare reports.
  • Ability to use Microsoft Office and databases.
  • Must be able to work some evenings and occasional weekends. 

EDUCATION and/or EXPERIENCE:

High school diploma or equivalent combination of education and experience.
