Graduate Assistant, Office of Global Affairs

The Office of Global Affairs (OGA) is accepting application for Graduate Assistant (GA) to begin January 2, 2024.  The GA is an office administrator internship position for graduate students earning a Master’s degree at Rockford University. The position assists in the implementation of policies and procedures to ensure the day-to-day operation of the Global Affairs Office. This position also encompasses the processing and implementation of OGA finances, student files, and carries out recruiting and admissions procedures for incoming students. The OGA GA also works in tandem with her or his OGA GA counterpart who oversees on campus activities and communications with students. The OGA GA will work to assign student workers tasks in order to effectively complete projects and tasks in a fast paced environment.  In exchange for working 20 hours per weeks, GA’s receive a monthly stipend and up to 21 hours of tuition remission per academic year.  This is 12 month commitment, renewable for up to 3 years, based on performance and institutional needs.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: 

  • Maintains office services by assisting office operations and procedures; aiding in report preparation; coordinating correspondence; implementing and refining filing systems; conveying requests; assigning and monitoring clerical functions to student workers.
  • Keeps OGA staff informed of changing international trends by sharing information learned from daily interaction with international students.
  • Contributes to team effort by accomplishing related results as needed.
  • Enhances department and organization reputation by accepting ownership of work undertaken and by exploring opportunities to add value to their work and the OGA office.
  • Communicates with potential students and collects necessary admission information
  • Adjusts content of admissions presentations by studying peer institutions admissions’ procedures and through feedback from incoming students.
  • Focuses recruiting efforts by aiding in the study of existing and potential volume of student sources.
  • Keeps OGA staff informed by reporting relevant information such as daily call reports, weekly work plans, and monthly and annual recruiting results.
  • Assists in monitoring peer university practices by gathering information on current international student trends with regards to recruiting, admission, outreach, and engagement.
  • Assists in monitoring the international student satisfaction with Rockford University and shares pertinent information with OGA staff to inform recruiting and retention efforts.
  • Acquires professional and technical knowledge by learning how to process and maintain student records.
  • Contributes to team effort by accomplishing related results as needed.

EDUCATION and/or EXPERIENCE:

  • Bachelor’s degree
  • Enrollment in one of Rockford University’s masters programs
  • Experience in office environments
  • Proficiency in project management basics
  • Proficiency in Microsoft Office Suite and Google Docs
  • Proficiency in basic finance concepts
  • Intercultural soft skills
  • Conflict resolution skills
  • Basic understanding of sales and finance
  • Digitally literate and able to find, acquire, and learn new programs and electronic tools and programs as needed
  • Self-directed learner and worker
  • Experience navigating intercultural situations
  • Fluency in a minimum of 2 languages
