Events and Stewardship Assistant 

Rockford University is experiencing one of the most vibrant periods in its 166 year history. Building on that momentum we are looking for someone to provide support to our increased development activity. Reporting to the Director of Development, the person in this position will provide administrative assistance and staff support to the Office of Institutional Advancement at Rockford University. Work involves knowledge of the Development organization, policies, and procedures.

 General Responsibilities:

  • Scheduling meetings and travel needs for members of the Office of Institutional Advancement.
  • Helping facilitate development, alumni and overall stewardship events.
  • Helping plan for and provide support for visits to corporations, foundations and individuals.
  • Formalizing and implementing processes for tracking visits and events.
  • Driving the basic functions of the gift acknowledgement process, from receipts to notes of thanks, follow-up correspondences, and other discrete messaging.
  • Assist in submission of grant requests and responses to foundations, corporations and individuals.
  • Processing business receipts for expenses of the offices of Alumni and Development.
  • Recording minutes from special meetings.
  • Assisting other departments with University events, initiatives and programs as required.

The successful candidate should have the following knowledge, skills, and abilities:

  • Demonstrated knowledge of Microsoft Office products including Word, Excel, Access, and PowerPoint, as well as general personal computer functions. Experience merging word documents with multiple-field databases necessary. Experience with relational data bases is beneficial. ·        
  • Excellent oral and written communication skills. Must read and write legibly, follow oral and written instructions in English, spell accurately, and have knowledge of business writing procedures.·        
  • Superior organizational skills. Ability to organize and prioritize work to meet deadlines. Reliability in handling report materials and ability to handle multiple tasks in changing work environment.·        
  • Professional appearance, demeanor, maturity, and poise in responding to the public, including trustees, alumni, parents, administration, staff, faculty, and students.


Graduation from high school and previously demonstrated success in the application of the applicant’s experience, knowledge, skills, and ability to perform this important work.
