SUMMARY:
To provide exceptional customer service to Rockford University faculty, students and staff with incoming and out-going mail service and assist with duties in the copy center.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES
* Perform clerical duties such as sorting, distributing, collecting and metering postal materials in  accordance with established procedures and applicable Federal postal regulations.
* Advise members of the University community as to the most efficient and economical methods of mailing postal materials.
* Operate postage meter machine to stamp outgoing letters; weigh and stamp packages; 
   sectionalize outgoing mail according to destination.
* Assist in preparing mail sorting/processing machine for daily operation to include clearing mail  tracks of debris, vacuuming filters and cleaning reader lenses.
* Perform other related duties incidental to the work described herein 
* Sell postage stamps and receive letters and parcels for mailing
* Answer and forward telephone inquiries.
* Insert campus flyers for all mail boxes.
* Lost and found.
* Record receipt of deliveries to the University.
* Transport mail from mail desk to post office.
* Familiarity with Adobe Creative Suite (InDesign, Photoshop, Illustrator and Acrobat) recommended
* Complete copy orders within a timely basis paying while maintain a high level of quality.
* Communicate with customers to quote orders in person, via email or on the phone and to ensure the end product is best suited to their needs.
* Proficiency in Microsoft Office; Word and Excel

SUPERVISORY RESPONSIBILITIES:
*Provide direction to student workers.

QUALIFICATIONS:
To perform this job successfully the employee must be self-directed and focused. Organizational and cash management skills are essential to performing this job. Must possess exceptional communication and customer service skills.

EDUCATION and/or EXPERIENCE:
Requires at least 1-2 years experience in an office environment including customer service, multi-tasking and employee relations. Experience in filing is a must. Able to follow instructions normally acquired through a high school education. Ability to sort and distribute mail is also required.

LANGUAGE SKILLS
Must be able to read and write in English.

MATHEMATICAL SKILLS
Knowledge of basic math skills necessary to give change and compute postage.

REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

PHYSICAL DEMANDS
The physical and mental demands of this position are representative of those that must be met by an employee to successfully perform the essential job functions. While performing the duties of this job, employee is regularly required to use hands to finger, handle, feel objects, tools, or controls, and talk and hear. The employee frequently is required to sit and reach with hands and arms. The employee is frequently required to stand, walk, stoop, and kneel. The employee may occasionally lift and/or move up to 75 pounds. Specific vision abilities required by this job include close vision, peripheral vision, depth perception, and the ability to adjust focus.

WORK ENVIRONMENT
Employees work in a professional office environment that is highly visible to
members and the college community. Normal office conditions prevail. Office work
is performed primarily indoors.
