Policy
Conditions
of Acceptance
Gifts are unsolicited books and other materials
donated to the Library. Such materials frequently require
more time to screen, organize, catalog and process than new
materials. Therefore, the Library reserves the option to keep
or dispose of gifts according to established and recognized
procedures. Gifts are accepted only when they add strength
to the collection and when the donor places no significant
limitation on housing, handling, or disposition of duplicate,
damaged or unwanted items. Gift books and other materials
are accepted without commitment as to their final disposition
and with the explicit understanding that they will not necessarily
be added to the collection. The same criteria employed for
the selection of other materials for the Library's collections
will be used in evaluating gift materials. Items not added
to the collection will be disposed of by sale, exchange, or
discarded as deemed appropriate by the responsible Library
staff members.
Gifts in excess of one hundred (100) items
will normally be reviewed in situ by a representative of the
Library who will select those items that will or may be useful
additions to the Library's collection. Items selected then
will be transferred to the Library for processing.
Acceptance
of Gifts
Gifts may be accepted by the President of
the College, the Vice President for Institutional
Development, the Director of the Library, and the Technical Services Coordinator
or a representative who has discussed the gift with either the Director or
Technical Services Coordinator.
Acknowledgment
of Gifts
Except in extremely rare instances, keeping
collections of gift materials intact does not serve the purposes
of an academic library or its patrons. In lieu of this, a
bookplate bearing the donor's name will be placed in each book,
but the materials will not be kept separate in any way, i.e.,
they will be merged with the general collection.
Receipts will be provided to donors when
requested. Such receipts will, however, state only the number
of paperbound and hard cover books donated and the date they
were received by the Library. The Library will not furnish
an annotated itemization of gifts, nor will a monetary evaluation
be made, as IRS regulations and the Tax Reform Act of 1983
(Section 155a) preclude the receiving library from making such
appraisals. If an appraisal is desired, therefore, the donor
will be responsible for obtaining it from a qualified third
party prior to releasing the gift items to the Library. Acknowledgments
of gifts will be provided by the Rockford College Development
Office
